How to Add a Handwritten Signature to Your Email
A handwritten-style sign-off makes a work email feel personal without any fuss. The trick is to use a clean, transparent image at the right size. Here is how, for Gmail and Outlook.

Step 1: Create the signature image
Type your name into the signature generator, pick a style that reads well at small sizes (avoid the busiest flourishes for email), and download it as a transparent PNG. A transparent background is essential so the signature sits on the email cleanly instead of inside a white rectangle.
Step 2: Keep it small
Email signatures look best when the signature image is roughly 300 to 400 pixels wide. Anything larger dominates the message and can trigger images-blocked warnings. Export at a modest size, or resize before you upload.
Step 3a: Add it in Gmail
- Open Settings (the gear icon), then See all settings.
- Scroll to the Signature section and create or edit a signature.
- Click the insert-image icon, upload your PNG, and place it below your name and title.
- Save changes at the bottom of the page.
Step 3b: Add it in Outlook
- Go to Settings, then Mail, then Compose and reply (or Signatures in desktop Outlook).
- Create a signature block and use the insert-picture option to add your PNG.
- Set it as the default for new messages and replies, then save.
Step 4: Pair it with your text details
Keep your typed name, role, and contact details as normal text beneath the image. That way the signature adds warmth while the important information stays selectable, searchable, and readable even if images are blocked.
